Job description
Our client is seeking an experienced and detail-oriented Office Manager with deep experience in Finance to oversee the daily operations of their Miami office. Reporting directly to the General Manager, this role is responsible for ensuring the smooth functioning of administrative, accounting, HR, inventory, sales, and service operations while supporting the broader business.
Key Responsibilities
Manage all accounting and finance functions, including accounts payable, accounts receivable, invoicing, collections, expense tracking, reconciliations, payroll support, supplier invoices, banking relationships, payment processing, treasury management, and month-end activities.
Oversee all HR processes, including recruitment, onboarding, terminations, payroll administration, employee records, visa and work permit processes, green cards, employee requests, and employment-related legal matters.
Support sales operations by creating compressors, service agreements, contracts, sales orders, purchase orders, billing, invoice tracking, and customer tax exemption documentation within AX.
Manage service administration, including service orders, material entries, purchase orders, compressor commissioning, restocking activities, claims management, and service process improvements.
Oversee inventory management within AX, including inventory transactions, item location setup, warehouse stock control, and procurement for Miami warehouse inventory.
Maintain vendor, supplier, and customer relationships while coordinating purchasing activities and ensuring operational efficiency.
Oversee office administration, including leases, insurance policies, permits, license renewals, fire inspections, security systems, alarm systems, and regulatory compliance.

Requirements
Bachelor’s degree in Business Administration, Management, Accounting, or a related field
6+ years of experience in office management, administrative, or accounting roles with strong financial operations exposure
Solid experience managing accounts payable, accounts receivable, reconciliations, financial recordkeeping, and supporting budgeting/reporting processes
Excellent communication and interpersonal skills
Proficiency with office and accounting tools/systems (e.g., invoicing, bookkeeping, ERP or similar platforms)
Detail-oriented with strong analytical and problem-solving skills in financial and operational contexts
Nice to Have
Spanish language proficiency
Experience working in a manufacturing environment
Familiarity with U.S. labor laws and administrative practices
Experience with ERP systems
